Applicant and Candidate Privacy Policy

1. Introduction

Sovrn, Inc. (“Sovrn,” “we,” “us,” or “our”) is committed to protecting the privacy and security of personal information provided by job applicants, candidates, and potential interns. This Applicant and Candidate Privacy Policy (the “Policy”) explains how we collect, use, disclose, and safeguard your personal information during the recruitment process.

This applies when you: 

  • Apply for employment or internships through our Careers page at sovrn.com/careers 
  • Submit an application via third-party platforms (e.g., Greenhouse, LinkedIn, Indeed) 
  • Interact with us through recruitment agencies, referrals, or direct outreach (e.g., email, interviews)

This Notice supplements our general Privacy Policy, which applies to website visitors and our AdTech offerings. It is governed by applicable data protection laws, including GDPR (for EEA/UK/Switzerland residents), CCPA/CPRA (for California residents), and other relevant regulations.

2. What Personal Information We Collect

We collect personal information necessary to evaluate your candidacy and manage the recruitment process. The categories include: 

  • Contact and Identification Details
    Name, email address, phone number, mailing address, date of birth, and any government-issued identification (e.g., passport or driver’s license) if required for identity verification or background checks. 
  • Application and Professional Data
    Resume/CV, cover letter, employment history, education qualifications, certifications, skills, portfolio (if applicable), references, salary expectations, and any information you provide during interviews, assessments, or skills tests. 
  • Demographic and Diversity Information (Voluntary)
    Gender, race/ethnicity, disability status, veteran status, or other protected characteristics (collected only where permitted by law for equal opportunity monitoring and reporting). 
  • Background and Verification Information (Where Applicable)
    Criminal history, credit reports, employment verification, or other background check data (only collected with your explicit consent and when required for the role). 
  • Communication and Interaction Data
    Emails, notes from interviews, video/audio recordings of interviews (if recorded with consent), and other records of our interactions during the recruitment process.

We collect this information directly from you, from third-party platforms where you apply, from recruitment agencies, or (with your consent) from references or previous employers.

3. How We Use Your Personal Information

We process your personal information for the following purposes: 

  • Evaluate your qualifications, skills, and fit for the role(s) you applied for. 
  • Manage and administer the recruitment process, including scheduling interviews, conducting assessments, and communicating with you about your application status. 
  • Communicate job opportunities, send updates, and coordinate next steps. 
  • Comply with legal and regulatory obligations (e.g., immigration requirements, equal employment opportunity reporting, tax withholding, or anti-discrimination laws). 
  • Conduct background checks and reference checks (where applicable and with your consent). 
  • Improve our recruitment processes, including analyzing hiring trends and diversity metrics. 
  • Consider you for other suitable roles at Sovrn (unless you request otherwise).

We do not use automated decision-making or profiling that produces legal effects concerning you during recruitment.

4. How We Share Your Personal Information

We share your personal information only as necessary and with appropriate safeguards: 

  • Internal Sovrn Teams — Hiring managers, recruiters, HR, and relevant department staff involved in the recruitment process. 
  • Third-Party Service Providers — Applicant tracking systems (e.g., Greenhouse), background check companies, video interview platforms, and other vendors that support recruitment. These providers are contractually bound to protect your data. 
  • Recruitment Agencies or Partners — If you applied through an agency or referral partner, we may share data with them. 
  • Business Transfers — In the event of a merger, acquisition, or sale of assets, your information may be transferred to the new entity. 
  • Legal and Regulatory Requirements — To comply with law, respond to subpoenas, protect rights/safety, or enforce our agreements.

We do not sell your personal information to third parties.

5. Data Retention

We retain your personal information only for as long as necessary: 

  • During the active recruitment process for the role you applied for. 
  • Longer periods if required by law (e.g., for audits, legal claims, or compliance with employment regulations).

After the retention period, we securely delete or anonymize your information. You may request earlier deletion (subject to legal exceptions).

6. Security

We implement commercially reasonable technical, administrative, and physical safeguards to protect your personal information from unauthorized access, loss, misuse, or alteration. These include encryption, access controls, regular security assessments, and employee training. However, no method of transmission or storage is 100% secure, and we cannot guarantee absolute security.

7. Your Rights

Depending on your location, you may have rights regarding your personal information, including: 

  • Access to your data and a copy of it. 
  • Correction of inaccurate or incomplete data. 
  • Deletion/erasure of your data (subject to legal exceptions). 
  • Restriction of processing or objection to processing. 
  • Withdrawal of consent (where processing is based on consent). 
  • Data portability (where applicable).

8. Regional Privacy Rights

EEA, UK, and Switzerland Residents

You have rights under GDPR/UK GDPR, including those listed in Section 7. Sovrn acts as the data controller for recruitment data. We may transfer your data to the United States using Standard Contractual Clauses or other approved safeguards.

For questions or complaints, contact our Data Protection Officer at privacy@sovrn[.]com. If unresolved, you may lodge a complaint with your local supervisory authority (e.g., ICO in the UK). EU representative: IT Governance Europe Limited (eurep@itgovernance.eu).

California Residents

Under CCPA/CPRA, you have rights to know/access, delete, correct, opt-out of sale/sharing (though we do not sell applicant data), and non-discrimination. Categories collected include identifiers, professional/employment history, and voluntary demographic data.

To exercise rights, email privacy@sovrn[.]com with “CCPA Applicant Request” in the subject line. We verify identity before responding.

9. International Data Transfers

If you apply from outside the United States, your personal information may be transferred to and processed in the U.S. (and potentially other countries). We use appropriate safeguards, such as Standard Contractual Clauses, to protect your data in line with applicable laws.

10. Children

Our recruitment processes are not directed to individuals under the age of 18. We do not knowingly collect personal information from minors.

11. Changes to This Notice

We may update this Notice from time to time. Material changes will be posted here with a new effective date.
